Newcastle Christian Students Privacy Protocol
Many people share their contact details and other personal information with NCS. In addition, from time to time NCS leaders will record other personal details in the NCS database, including notes on a person’s religious affiliation, background, and history with NCS.
People have a reasonable expectation that the details of their lives are used responsibly. As such, NCS leaders (staff, committee and other leaders) should observe the following guidelines with respect to people’s personal information:
1. Personal details must not be sold to another group or openly published.
2. Personal details must not be revealed on the internet without the explicit permission of the person or persons concerned.
3. Only the NCS Staff, Committee and Student Leaders may have access to the NCS database.
4. Contact details must not be shared with anyone who asks for them. An individual’s explicit permission is required before their personal details can be shared outside of the boundaries given in point (3) above.
5. If a matter is urgent, the NCS leader may offer to contact the person concerned and pass on some information to them, including the contact details of the person making the request.
6. Contact information is made available to leaders for the purpose of carrying out their ministry responsibilities with NCS. Such information must not be used to harass people or to pursue private agendas that are unrelated to NCS.
7. Great care must be exercised when deciding what information to include in a person’s record in the NCS database. Information of a deeply personal or sensitive nature should not be included. “Information of a deeply personal or sensitive nature” includes but is not limited to:
(a) A person’s medical history, except where this is necessary to ensure the safety of the person (e.g. food allergies).
(b) A person’s sexual history.
(c) A person’s academic results.
(d) Information about a person’s private thoughts and emotions.
Before receiving access to personal information stored by NCS, leaders must sign the declaration below.
